About working with Outlook and ACT! calendars

If you schedule some appointments and tasks in ACT! Premium for Web Server and some in Outlook, you may find it helpful to view all your calls, meetings, and to-do's on a single calendar in either ACT! Premium for Web Server or Outlook. Calendar updating allows you (the current user) to integrate your ACT! Premium for Web Server Premium for Web and Outlook calendars. You can view Outlook activities on ACT! Premium for Web Server calendars, in the Task List, or in the Activities tab.  

To share information between ACT! Premium for Web Server and Outlook calendars, you must be using Outlook 2000 or later.

Updating calendars

Outlook does not have to be running to update your ACT! Premium for Web Server Premium for Web and Outlook calendars. Users with a Restricted or above role can perform an update. ACT! Premium for Web Server offers three types of calendar updates:

  • One-way from ACT! calendar to Outlook calendar - Copies your ACT! Premium for Web Server activities to your Outlook calendar.

  • One-way from Outlook calendar to ACT! calendar - Copies your Outlook activities to your ACT! Premium for Web Server calendar.

  • Two-way - If a field has been changed in both products, select the product that "wins" - If an activity exists in both applications, select the product that will overwrite the activity.

If you use a multi-user database, only activities scheduled with or for you will be copied to Outlook. Each user must update his/her own calendars.

Importing Outlook items to ACT!

When you import Outlook Calendar and Tasks items to ACT! Premium for Web, ACT! adds them to the database you have open, under My Record. ACT! imports only the current user's calendar and tasks, but you can associate the imported activities with any contact, group, or company.
