Scheduling resources

When scheduling an activity, you can also schedule a resource to use with the activity. A resource is an item that can be reserved, such as a conference room or a projector, and it has conflict checking. Resources must be created before you can schedule them. For information about creating resources, see Adding a new resource. You schedule resources on the General tab or Availability tab of the Schedule Activity dialog box.  

Users of a remote database cannot schedule resources for activities on their database.  

To schedule a resource from the General tab

  • Schedule an activity. In the General tab, select the resource from the Resources list.

To schedule a resource from the Availability tab

  1. Schedule an activity. In the Schedule Activity dialog box, click the Availability tab.

  2. Click the Users/Resources button.

The Users/Resources dialog box appears. For field definitions, press F1.

  1. Click the Resources button.

  2. From the Resources list, select the resource or resources you want to add, and then click the right arrow button. For information on selecting multiple items, see Selecting more than one name or item.

The resources you selected appear in the Users/Resources list of the Availability tab.

  1. Using the calendar to the right of the Users/Resources list, locate a time that all users and resources are available. For more information about selecting an available time for all users, see Checking the availability of users and resources.

If the resource is unavailable, a dialog box appears saying that the resource is already reserved. Click OK to return to the Schedule Activity dialog box and select a different resource or time.
