Conversion considerations

Before completing database or supplemental file conversion, note the following considerations.

Database conversion:

  • ACT! v7 conversion works on ACT! 3.x to 6.x databases (*.dbf).

  • Conversion uses a COPY of the original database.

  • Conversion places the newly created database locally.

  • You must be an Administrator user in the previous version database to convert it.

  • Converting a database increases the database size.

Converted data details:

  • All contact (including users) and group records convert.

  • All notes, histories, opportunities, and activities convert.

  • All schema (database tables and fields) convert.

  • All group members convert as static members. This means that if you had a group whose membership was based upon a group rule, that criteria is not converted.

  • An existing opportunity process converts as a Previous ACT! Sales Process.

  • Existing opportunities without a sales stage or probability convert as a New Opportunity stage and 100% probability.

  • In ACT! v6.x or prior, if you store multiple e-mail addresses for a contact, ACT! v7 will convert those addresses to new fields, but the new fields will not be visible on converted layouts or layouts included with ACT! v7. The fields are visible in the Define Fields list and can be added to the layouts.

  • Date fields and time fields in prior versions are stored as literal values. ACT! v7 stores date and time fields as Greenwich Mean Time (GMT). If you have multiple databases, we recommend that you convert the database in the “home” time zone.

  • A private subgroup with a different record manager than the parent group converts to a private parent group.

  • A private subgroup of a public group converts to a public group.

  • Existing ACT! 6.0 accounting links automatically convert to ACT! v7.

Supplemental file conversion:

  • On converted layouts, some labels may display as wrapped text. You may want to edit these labels using the Layout Designer. See “Customizing Fields and Layouts” in the User’s Guide for more information.

  • The supplemental file system does not count as part of the MSDE 2 GB limit. The supplemental file system storage has changed in ACT! v7. Supplemental files are specific to a database, accessible to users sharing a database, and stored with the database. All are backed up and restored as part of the database. Supplemental files can be synchronized.

  • Group rules

  • Menu/toolbar customizations

  • Saved reports (RPT files)

  • Synchronization settings Outlook activities updated into ACT!

  • Macros

  • Queries

  • Some preferences
