Understanding Sync Sets

  • Sync Sets are the basis for including data in a remote database upon creation and represent a starting point or data baseline for the remote database.

  • A Sync Set will only include all contact records that users of the designated Sync Set can access given their permission.  

  • When an Administrator or Manager user creates a Sync Set, he or she also can create a query that further defines the records included in the Sync Set.

  • An Administrator or Manager user can copy, edit, or delete Sync Sets.

  • Sync Sets may be shared by one or many remote databases. When Sync Sets are shared, any changes to the Sync Set will be reflected in all remote databases sharing that Sync Set.

  • Each remote database will use only one Sync Set.

  • Users are not restricted to receiving only those contact records defined in the Sync Set. By using a Subscription List, or by modifying the Sync Set definition, users can add more records to their remote database from the main database.

The following scenario and diagram describe how Sync Sets work.

You are the Administrator user of a main database that contains 1,000 contact records. You have five users for whom you want to create a remote database. Due to the users' permissions (roles), only 500 of the 1000 contact records in the main database are available for them to access (the other 500 records may be private or have limited access). Because your users work only with contacts in New York, you define the Sync Set with a query that includes only contacts in the state of New York. If only 100 out of the 500 contacts reside in New York, your users will receive a database with those 100 contact records.
