Understanding calendar integration

To help you understand ACT! Premium for Web Server and Outlook calendar integration, here are some important items:

  • You can edit the activities in either calendar, but we recommend that you edit the activity in the calendar of origin, and then update the calendars.

  • Update Activities will not append or merge any data. If the activity exists in both applications, updating data from one database (Outlook or ACT! Premium for Web Server) to another will overwrite the activity.

  • If your ACT! database contains activities imported from Outlook, updating your ACT! Premium for Web Server calendar with Outlook data overwrites those activities.

  • Dateless Outlook tasks will only update the ACT! Premium for Web Server calendar if the date range for the update is set to All dates. However, only tasks originated in Outlook update from ACT! Premium for Web Server to the Outlook Tasks list.

  • ACT! Premium for Web Server timeless activities, regardless of meeting type, will update to Outlook calendar as all-day events with the time displaying as free.

  • Tentative Outlook activities will update to ACT! Premium for Web Server. Tentative ACT! Premium for Web Server activities will update to Outlook.

  • Changes made to ACT! Premium for Web Server activities in Outlook will be ignored unless you have permission to edit that activity in ACT! Premium for Web Server. For example, a user schedules a meeting in ACT! Premium for Web Server with another user. The organizer of the meeting, but not the participant, has permission to edit the activity in ACT! Premium for Web Server. ACT! Premium for Web Server updates the activity to Outlook. The meeting time is changed in Outlook, by the participant, and the activity is updated back to ACT! Premium for Web Server. Because the participant does not have permission in ACT! Premium for Web Server to modify the meeting, the Outlook changes are ignored and both applications have different activities with different meeting times.

  • An Outlook activity that contains additional users or contacts is updated to ACT! Premium for Web Server. If the users and contacts are identified in ACT! Premium for Web Server, the names are resolved and placed in the “Schedule With” field of the activity. If the names are not identified in ACT! Premium for Web Server, the names are placed in the Details field of the activity.
