Checking the availability of users and resources

When scheduling an activity, you can check the availability of users and resources from the Availability tab of the Schedule Activity dialog box or from one of your calendar views.

To check the availability of users and resources while scheduling an activity

  1. Schedule an activity. In the Schedule Activity dialog box, click the Availability tab. For field definitions, press F1.

  2. Click the Users/Resources button.

The Select Users and Resources dialog box appears. For field definitions, press F1.

  1. From the Users list, select the users you want to add, and then click the right arrow button. For information on selecting multiple users, see Selecting more than one name or item.

  2. Click the Resources button.

  3. In the Resources list, select the resources you want to add, and then click the right arrow button. For information on selecting multiple items, see Selecting more than one name or item.

  4. Click OK to close the dialog box and return to the Schedule Activity dialog box.

The users and resources you selected appear in the Users/Resources list of the Availability tab.

  1. (Optional) To display a full day calendar, select Show Full Day; to display the work schedule, clear the option.

  2. Using the calendar to the right of the Users/Resources list, view the availability of your users and resources. You can scroll through the window, or you can click the Auto Select back and forward buttons to find a time when all users and resources are available.

To check the availability of users and resources from a calendar view

  1. On the navigation bar, click Calendar.

  2. From the toolbar, click Check Availability.

  3. Click the Users/Resources button.

The Select Users and Resources dialog box appears. For field definitions, press F1.

  1. From the Users list, select the users you want to add, and then click the right arrow button. For information on selecting multiple users, see Selecting more than one name or item.

  2. Click the Resources button.

  3. In the Resources list, select the resources you want to add, and then click the right arrow button. For information on selecting multiple items, see Selecting more than one name or item.

  4. Click OK to close the dialog box and return to the Schedule Activity dialog box.

The users and resources you selected appear in the Users/Resources list.
