You can create custom signatures for different types of audiences.
- In Microsoft Word, on the Tools menu, click Options, and then click the General tab.
- Click E-mail Options, and then click the E-mail Signature tab.
- In the Type the title of your e-mail signature or choose from the list box, type a name for your signature.
- Under Create your e-mail signature, insert the text or pictures, or both, that you want to use for a signature. Use the formatting tools to apply formatting to your text.
- Click Add.
- To create another signature, click New, and then repeat steps 3 through 5.
Set or change the default signature
- In Microsoft Word, on the Tools menu, click Options, and then click the General tab.
- Click E-mail Options, and then click the E-mail Signature tab.
- If you use more than one e-mail account in Microsoft Outlook, select the account for this signature in the Select the signatures associated with box.
- Do one or more of the following:
- In the Signature for new messages list, click the signature you want.
- In the Signature for replies and forwards list, click the signature you want.
Modify signatures
Switch from one signature to another
If you have defined more than one signature, you can switch between them.
- In the e-mail message, right-click the existing signature.
- Select the name of the signature that you want to use.
Change the appearance a signature
To change a signature for an individual message, make your changes directly to the signature in the message.
To change the appearance of a stored signature, follow these steps:
- In Microsoft Word, on the Tools menu, click Options, and then click the General tab.
- Click E-mail Options, and then click the E-mail Signature tab.
- Under Type the title of your e-mail signature or choose from the list, click the signature you want to change.
- Make the desired changes in the Create your e-mail signature box.
- Click Replace.
