Troubleshoot SharePoint lists and libraries

ShowFor a Web site on a server running SharePoint Team Services v1.0 from Microsoft

ShowI can no longer edit a page by using my Web browser.

If you use layout customization view to make changes to a page, you must use Microsoft FrontPage to make any further customizations to the page.

ShowI cannot edit the properties of a list form in layout customization view.

You must open a list form in live data view to change the properties of the form.

Note  Changing from layout customization view to live data view resets the layout of the form to the default layout and formatting.

ShowThe commands in the Insert Web Component dialog box for creating a new list, document library, or survey are not available.

Verify that you are opening the Web site on a Web server that is running SharePoint Team Services v1.0.

ShowThe file I want to use as a template in a document library is not available.

The template must be in the active Web site. Do the following:

  1. On the File menu, click Import, and then click Add file.
  2. Locate and click the template file, and then click Open.
  3. Click OK.
  4. In Folders View, right-click the document library folder, and click Properties.
  5. On the Settings tab, select the Use a template for new documents check box, and then click Browse to find the file you imported in step 1.

ShowWhen Microsoft Office 2003 users work with my document library, I want them to see a list of folders and files, not a Web page, in the Open and Save dialog boxes.

To turn WebView off for all the document libraries in your Web site, do the following:

  1. On the Tools menu, click Site Settings.
  2. On the Advanced tab, clear the Display a web page view of available document libraries to Office users who open from or save to the web check box.

ShowWhen I create a rule for a document library, I get a message saying that a service is needed.

Some services on the Web server may need to be enabled. If you create a rule that involves keeping track of time or sending e-mail (for example, set documents to expire after six months, and send e-mail notification to the creator of the document one week prior to expiration), the Web server that stores your Web site must have the following services enabled:

  • SharePoint Team Services v1.0 timer service
  • SMTP mail service

Contact your Internet service provider (ISP) or Web server administrator to ensure that these services are running properly.

ShowI updated document properties that should have triggered a rule to take effect, but it looks like the rule didn't work.

You may need to refresh the page or property for the change to take effect.

  • Press F5, or click OK in the active dialog box and then reopen the dialog box to see the changes.

ShowSite visitors report that they can't get to a list, document library, or survey, yet I can see the folder for it in Folders view.

The default view may have been deleted. Do one of the following:

ShowSet an existing page as the default view

  1. In Folders view, right-click the document library folder, list folder, or survey folder, and click Properties.

  2. Click the Supporting Files tab, and in the Default view page box, select the page you want.

ShowCreate a new view to use as the default

  1. In Page view, at the bottom of the document window, click Design Button image.
  2. Place the pointer on the page where you want to add the view.

  3. On the Insert menu, click Web Component.

  4. In the Component type box, click List View to create a view of a list or survey, or click Document Library View to create a view of a document library, and in the Choose a view style box, click a layout for the view.

  5. Click Finish.

  6. If the view is of a list or survey, in the Choose a list box, select the list or survey, and then click OK.

If the view is of a document library, in the Choose a document library box, select the document library, and click OK.

  7. To add commands that enable users to add and edit items, click Options, and in the Toolbar type box, click Full toolbar.

Note  You can make other custom settings for this view in the List View Properties or Document Library View Properties dialog box.

  8. Click OK, and on the File menu, click Save to save the page.

  9. In Folders view, right-click the document library folder, list folder, or survey folder, and click Properties.

  10. Click the Supporting Files tab, and in the Default view page box, select the page you saved in step 7.

ShowMicrosoft FrontPage changed the name of my list, document library, or survey.

The name of the list, document library, or survey may include characters that cannot be used in URLs. If the name includes a character that cannot be used in a URL, FrontPage substitutes a new name for the list folder, document library folder, or survey folder. The name change affects the folder only. The name displayed on Web pages and link bars is the name that includes the non-URL characters.

ShowSite visitors get an error message when they go to a page to add or edit items in a list, document library, or survey.

There might be more than one list form on the page. A Web page can have only one form for a list, document library, or survey. Create a separate page for each form.

ShowThe default value for a Multiple lines of text field disappeared.

Someone may have edited the field using a Web browser. If a Multiple lines of text field is edited in a Web browser (for example, changing the name of the field or changing how many lines of text the field can hold), the default value is deleted. Reenter the default value by making changes to the field in Microsoft FrontPage.

ShowFor a Web site on a server running Microsoft Windows SharePoint Services

ShowI can't apply a theme by using the Web browser after Microsoft FrontPage has been used to apply a theme.

If you apply a theme to selected pages in your Web site by using FrontPage, the theme for those pages will not be updated later if you try to apply another theme by using the Web browser. The Apply theme to site option, on the Site Settings page in a Windows SharePoint Services site, only applies themes to pages that have not had themes applied by using FrontPage.

ShowI can no longer run document library rules.

The document library rules feature is available only on servers running SharePoint Team Services v1.0 from Microsoft. If your site has been upgraded to Windows SharePoint Services, you will be unable to run document library rules.

ShowI can no longer edit a page by using my Web browser.

If you use Microsoft FrontPage to make certain changes to a Web page based on Windows SharePoint Services, you might be unable to make further customizations to the page by using a Web browser.

For example, if you move a Web Part on default.aspx outside a Web Part Zone by using FrontPage, you will not be able to move that Web Part again by using the Modify My Page option in the browser. You must use FrontPage instead.

ShowWhen Microsoft Office 2003 users work with my document library, I want them to see a list of folders and files, not a Web page, in the Open and Save dialog boxes.

You can turn WebView off for all the document libraries in your Web site. Do the following:

  1. On the Tools menu, click Site Settings.
  2. On the Advanced tab, clear the Display a web page view of available document libraries to Office users who open from or save to the web check box.
