Package a presentation for CD

ShowMicrosoft Windows XP or later

  1. Open the presentation you want to package. If you are working with a new presentation that hasn't been saved previously, it is recommended that you save the presentation.

    Note  Before you give others a copy of the presentation, it is a good idea to review personal and hidden information, and decide whether it is appropriate to include. You may want to remove comments, ink annotations, and markup before you package your presentation.

  2. Insert a CD into the CD drive.

    Notes

    • You will need one of the following types of CDs: a blank recordable CD (CD-R), a blank rewritable CD (CD-RW), or a CD-RW with existing content that can be overwritten.
    • If you use a CD-R, make sure you copy all the files you need onto the CD the first time. After the files are copied, you can't add more files to the CD.
  3. On the File menu, click Package for CD.
  4. In the Name the CD box, type a name for the CD.
  5. To specify the presentations to include and the play order, do any of the following:

    • To add more presentations or other files that aren't included automatically, click Add Files. Select the files you want to add, and then click Add.
    • By default, presentations are set up to run automatically in the order in which they are listed in the Files to be copied list. To change the play order, select a presentation, and then click UP ARROW or DOWN ARROW to move it to a new position in the list.

      Note  By default, the presentation that is currently open is already in the Files to be copied list. Files linked to the presentation, such as graphic files, are included automatically but won't appear in the Files to be Copied list. In addition, the Microsoft Office PowerPoint Viewer is included by default so you can run the packaged presentation on a computer that does not have Microsoft PowerPoint installed.

    • To remove a presentation, select it, and then click Remove.
  6. To change the default settings, click Options, and then do any of the following:
    • To exclude the Viewer, clear the PowerPoint Viewer check box.
    • To prevent presentations from playing automatically or to specify a different automatic play option, select your preference from the Choose how presentations will play in the PowerPoint Viewer list.
    • To include TrueType fonts, select the Embedded TrueType fonts check box.
    • To require a password to open or edit all packaged presentations, under Secure the PowerPoint files, enter the password you want to use.
    • To close the Options dialog box, click OK.
  7. Click Copy to CD.

Note  You can use the procedure above to package one or more presentations into a folder on your computer or a network location instead of onto a CD. Instead of clicking Copy to CD, click Copy to Folder, and then provide the folder information.

ShowEarlier than Windows XP

You can use the Package for CD feature to copy all the files to a folder only. You can't use it to copy the files directly to a CD. To copy the packaged presentation to a CD, use a CD burning program.
  1. Open the presentation you want to package. If you are working with a new presentation that hasn't been saved previously, it is recommended that you save the presentation.

  2. On the File menu, click Package for CD.
  3. To specify the presentations to include and the play order, do any of the following:

    • To add more presentations or other files that aren't included automatically, click Add Files. Select the files you want to add, and then click Add.

    • To close the Options dialog box, click OK.
  5. Click Copy to Folder.
  6. Use the CD burning program of your choice to burn the contents of the folder, and not the folder itself, to the CD.

Notes

  • If you package a Web presentation, it is copied as a Microsoft PowerPoint (.ppt) file rather than a Web (.mht) file. Only .mht files that are generated by PowerPoint are converted to .ppt format. Standard .mht files that PowerPoint doesn't generate remain .mht files.
  • When you set passwords in Package for CD, those passwords apply to .ppt, .pot, .pps, and PowerPoint .mht files that have been converted to .ppt files, in the package. The passwords apply to the packaged versions of the presentations only and do not affect passwords you may have set in the original files.
  • If you choose to embed TrueType fonts, keep in mind that PowerPoint can't embed TrueType fonts that have built-in copyright restrictions. It is a good idea to preview your presentation before you show it to see if you have all the fonts you want.
  • If a file changed after you copied it to the CD, you must repackage the files to a new CD.
