Add a Journal Entry

To add an entry:

  1. Open General Ledger > G/L Transactions > Journal Entry.

Click here for help on fields in this form.

  1. Click the New button beside the Batch field. (General Ledger automatically provides the next batch number and moves to the Batch Description field.)

  2. Enter a description for the batch.

  3. Click the New button beside the Entry Number field. General Ledger automatically inserts the next entry number.

To edit an existing entry, use the Finder, the navigation buttons, or type the entry number.

  1. Enter a description for the entry.

  2. If you use Sage ERP Accpac Intercompany Transactions, use the Finder in the Originator field to select a company. (Transactions in an intercompany batch can have different originating companies.) Note that the Originator field appears only if you install and activate Intercompany Transactions.

  3. Use the Calendar icon to select the date.

  4. Select the fiscal year and period of the transaction.

  5. Enter the source code for the transaction, or use the Finder to select it.

General Ledger displays the default source code you chose on the Posting tab of the Options form, but you can change the code, if necessary.

  1. Select a Normal or Quick entry mode.

This option controls the number of fields visited when you are adding new transaction details.

  1. Select the Auto Reverse option if you want to reverse the transaction in the next fiscal period.

  2. Enter information in the detail grid.

Note that you can click the Detail button to open the Journal Detail form, where you can make additions or edits quickly and easily, tabbing from field to field, then clicking Close to return to the Journal Entry form, where these entries now appear.

Multicurrency transactions

If you have a multicurrency ledger and are entering details for a multicurrency account, you can select the source currency, the rate type, and the rate for each detail. Each detail can use a different source currency, and you can override the displayed exchange rates as required.
