Chart of Accounts Report — Printing

To print a report

  1. Choose the Chart of Accounts icon from the G/L Reports folder.

  2. Select the format of the report:

  3. Detail - Short form

    Shows basic setup information, including account number, description, status, account configuration, and consolidation and allocation options.

  4. Detail - Long form

    Prints short form information plus account groups and segment closed to.

    You can also choose whether to include the optional account and transaction details fields (and their values) that are defined for each account.

  5. Valid Currencies

    Shows the currencies that are valid for each multicurrency account, whether revaluation is allowed, and, if so, the revaluation code.

  6. Allocation

    Shows the accounts to which balances are allocated, along with the percentages going to each account.

  7. Control Account Subledgers

    Lists the control accounts in the general ledger, along with the subledgers that use them.

  8. Fiscal Set Comparison

    Lets you compare the period balances of two fiscal sets. Your choices for comparison are Actual, Budget 1 through Budget 5, Provisional, Quantity, and Provisional Quantity.

    Note that your fiscal set comparison options include Budget sets 2 through 5 only if you are using Sage ERP Accpac 500.

  9. Rollup Accounts

    A report that shows all rollup accounts and their directly related rollup member accounts. You can also print a list of all rollup accounts related to a member account or to a group of member accounts.

  1. If you choose Fiscal Set Comparison, select the two sets of figures you want compared. You specify the fiscal set data type, the year, the currency type (Functional or Source), and the currency.

If the euro is your functional currency and you specified a reporting currency, you have the option of selecting reporting as your currency type. When you select the reporting currency option, the report will print amounts in the reporting currency, obtained from the reporting fiscal set.

  1. Select the option, "Exclude Accounts with No Activity" to avoid including accounts on the report that have zero balances and that had no transactions within the specified period range.

You must select the same year in both the From Year field and the To Year field.

  1. Select the option "Select Account Groups by Sort Code Range" if you want to print a set of common account groups, but not other account groups. (To do this, you must first give the same sort code to all account groups in the set, specify printing by sort code order, and then choose the sort code of that set.)

  2. If you are printing the long form of the report and you use optional fields, an option to include optional fields appears. Click the Include Optional Field option to have optional fields information printed on the report.

  3. If you are printing the Rollup Accounts report, select either Members or Rollup Accounts in the Show field.

  4. Select the sort order for the report, and a range of the item by which you are sorting. You can order the report by account number, any segment of the account number, account group, account sorted group. You can sort by account sorted group by choosing the Select Account Groups By Sort Code Range option.

  5. Select accounts by specifying ranges of account groups, account sorted groups, account number segments (that haven't already been specified as the sort order), or the range of optional fields.

  6. Click Print.

    Depending on the print option you select in the Print Destinations form (Printer, Preview, File, E-mail), you’ll see a different destination-specific dialog box where you can specify more options.

    If you select the Printer option, G/L will display the Print dialog form where you can confirm your printer selection and change the number of copies you want printed.Choose OK if the settings are correct; otherwise, choose Cancel or Setup.

    If you select the File option, G/L will display the Report dialog box where you can select the file format (disk file, Exchange folder, Lotus Notes database, or Microsoft Mail) and the destination (the name of the file).When you choose OK, G/L will display the Export dialog box where you can finalize your selections.

    If you select the Preview (print to screen) option, G/L will generate and display the report in a Crystal Reports form.You have the option of printing the report or saving it to a file.

    If you select the E-mail option, G/L will display the Send Mail dialog box where you can compose an e-mail message and send the report as an attachment. G/L will automatically assign a report name and attach the report in RTF format to any message you compose and send from this dialog box.
