G/L Batch List

This form:

  • Displays a list of posted and unposted General Ledger and intercompany batches beginning with the batch number you specify. You can choose to display or suppress posted and deleted batches, and you can choose to display batches from a single subledger.

Displayed information includes:

  • Batch number

  • Batch description

  • Source ledger

  • Type

    • Imported

    • Entered

    • Subledger

    • Generated

    • Recurring

  • Status

    • Open — Unlisted batches, or edited batches that have not been relisted.

    • Deleted — Batches which were deleted. These batches appear only if you select the option Show Posted And Deleted Batches.

    • Ready To Post — Completed batches that are ready for posting.

    • Posted — Batches which have been posted. These batches appear only if you select the option Show Posted And Deleted Batches.

    • Post In Progress — Batches which are being posted now from another workstation, or batches for which posting failed and has to be restarted.

    • Provisionally Posted — Batches which have been provisionally posted.  

    • Provisional Post In Progress — Batches which are being provisionally posted now from another workstation, or batches for which provisional posting failed and has to be restarted.

     

  • Whether it's been printed

  • Dates created and last edited

  • Whether it's ready to post

  • Posting sequence if posted

  • Batch totals

  • Number of entries and errors

  • For an ICT company (Sage ERP Accpac Intercompany Transactions), if one of the companies specified on the ICT Options form maintains quantities in its General Ledger, a Quantity Total column appears.

  • Lets you create a new batch or select a batch for editing, deleting, printing, posting, or provisional posting. (Provisional posting is not available for an ICT company.)

  • Lets you print batch listings, batch status reports, posting journals (by double-clicking the Posting Sequence column), and posting error reports (by double-clicking the Number of Errors column).

To list batches

  1. Optionally select a starting batch number.

  2. Optionally specify the source ledger for the batches you want to list.

  3. Choose whether to display posted and deleted batches.

You can use the Refresh button to update the list if other users have been changing batches.

To view, create, delete, print, or post a batch

  1. Select the transaction batch from the list.

  2. Click the Open, New, Delete, Print, or Post button to view, create, delete, print, or post the batch.

To view the transactions in a batch, either open the batch you want to view, and use the Journal Entry form to review transactions, or print the batch listing report or preview it on your screen.

Ready to Post — Yes/No

Double-click the Ready-to-Post column when:

  • You are ready to post the batch of transactions.

  • You are finished editing a batch and do not want any unauthorized changes.

You cannot edit batches which are marked Ready to Post.

Also, you cannot use the Post Batches form to post batches which are not marked Ready to Post.

If you choose the Post button on this form to post a single batch, the program will let you override the Ready to Post switch.

You cannot post to an account that has the Post To Account field in G/L Accounts set to Prohibited.
