Importing Receipts

Use the Import command on the File menu in the Receipt Entry form to transfer receipts created in non-Sage ERP Accpac applications (or in another Purchase Orders database at a different location) to Purchase Orders.

Purchase Orders posts imported receipts and returns as they are imported, but does not delete the original file of transactions. To avoid importing the same transactions twice, you should delete the file when you are finished.

You must make sure that the receipts and returns for importing use unique document numbers. You cannot import a transaction that uses a document number you have posted and not cleared in Purchase Orders. You can also import additional costs only for the primary vendor.

Multicurrency ledgers

You cannot import multicurrency transactions into a single-currency ledger. Edit import files to remove multicurrency fields before importing.

Guidelines for importing

If the file does not contain valid data, Purchase Orders will not import it. For an example of valid data, export receipts using the fields you plan to import later and use this as a guide.

Note that the import file you specify must be located on the drive and in the directory that you select. If you are on a network, you must have access rights to the import file and the directory.

For step-by-step instructions on importing receipts

Click Import on the File menu of the Receipt Entry form, then press the F1 key to display System Manager help that will guide you through the import process.

After importing

  • Check data integrity.

  • Run Day End Processing to create journal entries from the imported data.

  • Print the posting journal for the type of transaction imported and use it to check the posted details and the general ledger distributions generated from Purchase Orders transactions.

  • Unless you need to use it again, delete the file from which you imported the transactions.
