Use this tab to:

  • View summary and detailed information about the transactions (invoices, debit notes, credit notes, and payments) currently posted to vendor accounts. You can choose the types of documents you want to see, the order of appearance, and the starting document number.
  • View completed (fully paid) documents that you have not yet cleared from Accounts Payable. You choose whether to include or exclude fully paid transactions.
  • View information about pending transactions, including pending document balances.

In multicurrency ledgers, you can also view the amounts in the functional currency or the vendor's currency.

To inquire on vendor transactions:

  1. Choose Vendor Activity from the Vendors folder.
  2. Select the vendor using the Vendor No. field.
  3. Click the Transactions tab.
  4. Select the type of document you want to view, and the starting document number to include in the display.
  5. In the Order By field, specify the order in which to list transactions. Click the button () beside the Order By field if you want to change the list order from ascending to descending, or from descending to ascending order.

    You can list transactions in order by one of the following attributes:

    • Document Number
    • Order Number
    • PO Number
    • Due Date
    • Document Date
    • Current Balance

    If you select Order Number or PO Number in the Order By field, transactions that do not include an order number or PO number are listed:

    • In ascending document number order and before transactions that include an order number or PO number, if you display the list in ascending order.
    • In descending document number order and after transactions that include an order number or PO number, if you display the list in descending order.
  6. Select the currency in which to display the payments. You can select Functional Currency or Vendor Currency.
  7. If you want to include fully paid transactions and/or pending amounts in the display, select the options to include them.
  8. Click the Go () button or press F7 to display documents using your selections.

    Accounts Payable displays one line of information for each document on the tab.

    The following fields display information for each document:

    • Type
    • Document number
    • Document date
    • Purchase order number
    • Sales order number
    • Due date or activation date (for prepayments)
    • Discount date
    • Payment number
    • Original amount
    • Discount amount
    • Applied amount
    • Current balance
