Change the Status of a Project
Overview
Before you start

Determine the correct status to assign to the contract.

If you are resetting the project status to Estimate from Open, you need to ensure that the project is not used in an unposted transaction in another Sage ERP Accpac program.

To check for unposted job-related transactions in Purchase Orders and Order Entry, print and review transaction lists in those programs.
Select the option to include job details on the report.
Do not select the option to include transactions with Posted status; select the options for the other statuses.

To check for unposted job-related transactions in Accounts Receivable and Accounts Payable, print and review batch listings in those programs.
Select the option to show job details on the report.
Do not select the option to include transactions with Posted status; select Open and Ready to Post.

To check for unposted job-related transactions in your Sage ERP Accpac payroll program, print a pre-check payroll job register.
To change the status of a project:

Open Project and Job Costing > PJC Transactions > Contract Maintenance.
Click here for help on the fields on the Contract Maintenance form.

In the Contract field, type the contract number or use the navigation buttons or the Finder to display the contract whose status you want to change.

On the contract Tree, click the number for the project whose status you want to change.
To display the Tree view, from the File menu, click Show Tree.

In the Project Status field, select the status to assign to this project.

Click the Save button under the Project tab to save your change to the project.

Click the Save button for the Contract Maintenance form to save your change to the contract.
If you have reset the project status to Estimate from Open, it is a good idea to check that there are no unposted transactions in other Sage Accpac programs.

To check for unposted transactions in Sage ERP Accpac other than Order Entry, run Data Integrity for Project and Job Costing. Select the options to check A/R documents, A/P documents, P/O documents, and Canadian Payroll (or US Payroll) documents.

To check for unposted transactions in Order Entry, print a transaction lists in that program.

Select the option to include job details on the report.

Do not select the option to include transactions with Posted status; select the options for the other statuses.
If there are unposted transactions in Accounts Receivable, Accounts Payable, or your payroll program, you need to delete the transactions or set the project status back to Open.
If there are unposted transactions in Purchase Orders or Order Entry, you need to set the project status back to Open.
