Create a Standing or Future Order

Overview

You can create four different kinds of documents using the Order Entry form:

Active Orders.An active order is an order that you expect to fill in a normal period of time. An active order may also contain items on backorder, or be on hold. If the order is not on hold, you can post and print an invoice for shipped goods.

Future Orders.A future order is an order to be filled on the future date you specify. When you run Day End Processing on that date, the order is automatically activated and posted.

Standing Orders.A standing order is an order that is filled regularly for the same customer, or for different customers.

Quotes.A quote is an order with an expiration date. When you run Day End Processing on that date, the quote is removed from the system. If a quote is accepted by the customer before the expiration date, you can change the order type to Active to save you re-entering the order details.

To create a standing order:

  1. Open Order Entry > O/E Transactions > Order Entry.

  1. Press the Tab key to accept *** NEW *** as the order number (Order Entry will assign the order number when you post the order), or assign the number yourself.

  2. Enter the customer number.

  3. Select Standing as the order type.

  4. Enter the details and other information for the order.

  1. Click Post.

To create a future order:

  1. Open Order Entry > O/E Transactions > Order Entry.

  1. Press the Tab key to accept *** NEW *** as the order number (Order Entry will assign the order number when you post the order), or assign the number yourself.

  1. Enter the customer number or select it from the Finder.

  2. As the order date, type the date on which to activate the order.

Note: If you usually run Day End Processing at the end of the work day, future orders set to be activated on a certain day will not become active until the end of the day. To be sure a future order is ready to be processed on the correct date, assign a date earlier than the desired date for the order.

  1. Select Future as the order type.

  2. Enter the details and other information for the order.

  1. Click Post.

To create an active or future order from a standing order

  1. Open Order Entry > O/E Transactions > Order Entry.

  1. Type the number of the standing order in the Order Number field or select it from the Finder.

  2. Change the order type to Active or Future, as required.

  3. Press the Tab key to accept *** NEW *** as the order number, or assign the number yourself.

  4. Make any other changes you require to the order. You can even change the customer number, template code, or ship-to location.

  5. Click Post.

The original standing order is retained in the system, unchanged, and with the original order number, regardless of how many orders you issue from it.

The order you create from the standing order displays the terms code and other information maintained in Accounts Receivable for the customer number.

To activate a future order

Day End Processing automatically activates and posts future orders on the order date (or the first time you run Day End processing after the order date), except as follows:

  • Day End does not activate and post future orders that include serialized or lotted items if Inventory Control uses the option to allocate serial and lot numbers from the Qty. Ordered field.

Alternatively, you can change the status of a future order to Active before the order date.
