Overview

Order Entry provides several inquiry functions and reports that let you review posted orders, shipments, invoices, and credit/debit notes in summary or in detailed form.

Entry forms:

Use the Order Entry, Shipment Entry, Invoice Entry, and Credit/Debit Note Entry forms to view all information for posted transactions.

Click the Drilldown button in Shipment Entry to drill down to the original order or the shipment invoice. For a shipment covering multiple orders, click the Drilldown button on shipment details to view order information.

Order Entry lets you drill around from invoices to shipments, to orders, and back again.

Inquiry forms:

Use Current Orders Inquiry to list all open orders for a customer. You can drill down directly to the order details.

Use Pending Shipments Inquiry to list all orders that are supposed to ship within a specified time period (determined by the expected ship date specified for each item on the order detail line).

Use Sales History Inquiry to list all items ordered by specific customers or all customers who ordered specific items. You can drill down to order details.

Use Salesperson Inquiry to list all invoices, credit notes, or debit notes for a specific salesperson and customer. You can then select and print invoices or credit/debit notes.

Business forms:

You can reprint quotes, order confirmation, picking slips, invoices, or credit/debit notes.

  1. Open Order Entry > O/E Transactions > Order Entry (to look up orders, quotes, standing orders, and future orders).

Open Order Entry > O/E Transactions > Shipment Entry to search for shipments.

Open Order Entry > O/E Transactions > Invoices to search for invoices.

  1. Enter the transaction number.

Or

Click the Finder () to search for Orders, Shipments, and Invoices.

  • Click the Find By drop-down arrow to choose how you want to search for orders, shipments, or invoices. For example, you can choose the bill-to phone number.

  • Choose Starts With or Includes. (Includes is the more general choice.)

  • Enter the specific data for the search — such as the phone number.

On orders:

  • Last Shipment and Invoice numbers appear in the top-right corner.

  • Shipment and invoice numbers for each detail appear in the Shipment Number field. (Click the column heading to display the shipment's invoice number.)

On shipments:

  • Click the drilldown button beside the Invoice Number field to view the invoice.

  • Click the drilldown button beside the Order Number field to view order information.

  • If the shipment invoice is for more than one order, drill down using the Order Number field on each detail line.

On invoices:

  • Last Shipment and Invoice numbers appear in the top-right corner.

  • If the invoice is for more than one shipment, drill down using the Shipment Number field or the Order Number field on each detail line.

  1. Press F9 in the transaction detail grid to see all fields for a detail on a popup form.

  1. Open Order Entry > O/E Statistics and Inquiries > Current Orders Inquiry.

  2. In the Customer Number field, enter the number for the customer whose orders you want to review.

  3. To limit the display to orders that meet certain criteria, specify a range of order numbers, order dates, and expected ship dates.

  4. Select the type of orders (Active, Future, Standing, or Quote) you are inquiring on. You can also choose All if you wish to include all the types of orders in the display.

  5. Select the status of orders you are inquiring on (Posted, Quote/Confirmation Printed, Picking Slip Printed, Never Invoiced, Partially Invoiced, Never Shipped, Partially Shipped, Complete, or On Hold).

You can also choose All.

Note that if you shipped goods from an order and printed the picking slip after posting from the Order Entry form, the print status of the shipment will be set to “Picking Slip Printed,” but the print status of the order will not be changed.

  1. Click the Go button ().

The program fills in the detail grid with information from the selected orders.

  1. To view all the details of one of the orders, select the order line and click the Details button, or double-click the order line on the detail grid.

The program displays the original order in the Order Entry form.

  1. Open Order Entry > O/E Statistics and Inquiries > Pending Shipments Inquiry.

  2. Enter the period of time for which you want to list pending shipments.

You can specify the starting date and the number of days after that date when you expect to ship goods.

  1. To limit the display to orders that meet certain criteria, specify a range of customer numbers, item numbers, inventory locations, and order types.

You can also choose All if you wish to include all the types of orders in the display.

  1. Click the Go button ().

The program lists all orders that match the criteria that you specified above.

  1. To view the details on an order that match your criteria, select the order line and click the Details button, or double-click the order line on the detail grid.

The program will display only the detail lines that match the item numbers and locations that you specified on the first form.

  1. To view all information for the order, click the Details button on the form that lists the matching item details.

The program displays the original order in the Order Entry form.

  1. Open Order Entry > O/E Statistics and Inquiries > Salesperson Inquiry.

  2. Select the salesperson responsible.

  3. Choose the period of time that you want to review. (This is the range of fiscal periods during which the invoices or credit/debit notes were issued.)

  4. Select the Customer for whom you want to review transactions.

  1. Select the type of transactions you want to review — invoices, credit notes, or debit notes.

  1. Click the Go button ().

The program lists all documents that match the criteria you specified above.

  1. To view the details on an invoice, credit note, or debit note that match your criteria, select the appropriate line and click the Details button, or double-click the line in the detail grid.

The program will print the invoice, credit note, or debit note that you chose.

You can also drill down to posted transactions Order Entry transactions from the generated General Ledger and Accounts Receivable transactions, as long as you don't consolidate G/L transactions, and as long as the original posted transactions haven't been cleared from Order Entry.

You can also drill down from invoices to shipments and orders, and from order to the shipments and invoices they produced.
