Assign Lot Numbers or Serial Numbers to a Credit Note

Overview

The following topic provides an overview of serialized inventory and lot tracking:

To assign serial numbers or lot numbers to a credit note:

  1. Open O/E Transactions > Credit/Debit Note Entry.

  2. Select Credit Note as the document type.

  3. Select Items Returned To Inventory as the credit type.

    You cannot assign lot numbers or serial numbers for Damaged Item or Price Adjustment credit types.

  4. Select the invoice number, if necessary.

The program automatically fills in other fields with information from the invoice.

Note: If the credit note refers to an invoice number, you cannot allocate serial numbers or lot numbers to details that existed on the invoice. However, you can allocate serial and lot numbers to new details that you add to the credit note. You can also delete serial and lot numbers from existing details.

  1. Use the detail grid to enter item information, including the inventory location to which you are returning the item.

For items that are not kitting items:

  1. Enter a quantity in the Quantity column, and then click the Quantity column heading.

If you are editing an existing document, and you only want to change a serial number or lot number already assigned, select the item line, and then click the Quantity column heading.

The Serial/Lot Numbers form that appears includes a Serials tab if the item is serialized and/or a Lots tab if the item is lotted.

The Serial/Lot Numbers Generation form appears if you are entering a credit note. It lets you select serial numbers that are assigned to items that have been shipped, or generate new serial numbers for items that the customer is returning.

The Serial/Lot Number Allocation form appears if you are entering a debit note. It lets you allocate serial numbers that are not yet assigned to items.

  1. Use the Serials tab to assign serial numbers.

    You assign serial numbers for a credit note in one of the following ways:

    • Type the serial numbers in the Serial Number list, or use the Finder to select them one at a time.

    • Accept the number in the Next Serial Number field, then click the Add button to generate serial numbers one at a time.

    • Accept the number in the Next Serial Number field, and then click the Auto-Gen. button to generate all the required serial numbers.

  1. Use the Lots tab to assign lot numbers.

    You assign lot numbers for a credit note in one of the following ways:

    1. Specify whether to create a fixed number of lots with evenly distributed quantities or lots that include a specific quantity.

    To create a fixed number of lots with evenly distributed quantities, type the number of lots to create in the Make [ ] Lots field.

    To create lots that include a specific quantity, type the quantity each lot should have in the Each Lot Has [ ] field.

    1. Use one of the following methods to assign lot numbers to the generated lots:

      • Manually enter lot numbers in the Lot Number list, or use the Finder to add them one at a time.

      • Accept the number in the Next Lot Number field, or type a different number, and then click the Add button to enter lot numbers one at a time.

      • Accept the number in the Next Lot Number field, or type a different number, and then click the Auto-Gen. button to generate all required lot numbers at once.

The quantity of serial numbers or lot numbers you require appears in the Serial (or Lot) Number list. The quantity remaining to be allocated is reduced as you allocate numbers.

  1. Select the kitting item on the grid, and then click the Components button.

The Kitting Components form appears, listing the items that make up the kit.

The Serialized/Lotted column displays Yes for items that are serialized or lotted.

  1. For each serialized or lotted item:

  1. Select the line on the grid, and then click the Quantity column heading.

Use the Serial/Lot Numbers form that appears to generate serial numbers and/or lot numbers for the quantity you are adjusting, as for non-kitting items.

  1. Click Close to return to the Kitting Components form.

  2. Click Close to return to the Credit/Debit Note Entry form.

  1. When the quantity of serial numbers and/or lot numbers remaining is zero, click Close in the Serial/Lot Numbers form.

  2. Enter any additional information required for the credit note, and then post the transaction, as usual.
