- On the Annotations toolbar, click Select Annotations .
- Drag over the annotations.
- On the Annotations toolbar, click Select Annotations .
- Drag to select the annotations you want to copy.
- On the Edit menu, click Copy.
- Do one of the following:
- To paste the annotations back into a Microsoft Document Imaging document, select the page you want the annotations to appear on, and then click Paste on the Edit menu.
- To paste the annotations into another program, switch to that program, and then use that program's paste command.
You can copy images of selected areas of the page in the page pane. If you paste an image back into a Microsoft Document Imaging document, the image is inserted as an annotation.
- On the View toolbar, click Select .
- In the page pane, select the area you want to copy.
- On the Edit menu, click Copy Image.
- Do one of the following:
- To paste the copied image back into a Microsoft Document Imaging document as an annotation, select the page you want the annotation to appear on, and then click Paste on the Edit menu.
- To paste the copied image into another program, switch to that program, and then use that program's paste command.

Make annotations a permanent part of your document
If you want to share the document with users who do not have Office Document Imaging and you want them to see the annotations, you can make annotations permanent in the open document only, or you can make annotations permanent each time you save a document.
Do one of the following:
Make annotations permanent in the open document
- On the Tools menu, point to Annotations, and then click Make Permanent.
Make annotations permanent every time you save a document
- On the Tools menu, click Options, and then click the Annotations tab.
- Select the Make annotations permanent when document is saved check box.
Note When you make annotations permanent, text that was added as an annotation will be recognized after you run optical character recognition (OCR).
