On the main menu go to Reports > Advanced Search
The advanced search form will be displayed.
Steps to create a query in the advanced search
- Select an item from the drop down list on top which will give you a list of attributes of the selected item along with the sub-items if any.
- Now select the attributes you want to display by either double clicking with the mouse or drag and drop them in the top right grid.
- Repeat step 2 for all items you want to include in your search.
- If you select an attribute, but then change your mind and want to delete it, then hit the delete key.
- If you want sub-items, for example all bills for a patient then from the patient’s attributes double click bill for and you will see the list of attributes of the bill. You can drag the items of the sub-item for them to be displayed in the query result.

In this example the query executed will find all patients in the database with a home phone number ending in the string 12345.
All patients in the database could be listed if a similar query was entered for a particular street name. - In the top right grid there are 5 columns viz. name, d, c, operator, and condition. The name column displays the name of the selected attribute. The ‘d’ column specifies whether the attribute will be displayed in the result, the ‘c’ column specifies whether you want a filter condition using that attribute. For example, you can select only those patients whose last name starts with “A”.
To do that, drag the patient (or double click) – last name attribute into the grid and check the “c” column and in the operator select “Like” and in the condition type “A%” The “%” character acts as a wildcard.

i.e. LIKE, IN, IS NULL, IS NOT NULL, NOT IN.
This will help theuser in developing several interesting queries
e.g. list patients who don’t have any allergies recorded, all patients with no medicare number. - To display the search result click on execute.
Using functions in query
You can use functions like sum, max, min etc. with query. For using these functions execute a query and select a cell of numeric type like “Bill Amount” and then select a function from function list and click “Apply Fx” button.
Saving Queries
Users can save a search and use it later again. To save a query first create and execute a query and then click on the save button. The properties window of the query will be displayed where you can enter a name and description for the query. The query name is mandatory for saving a query.
If you want you can also share the query with other logins. Sharing the query with other users will allow them to use the query but they will not be able to make changes to the query. However, other users can make changes and save it again as a different query using “Save As” button.
Loading, Deleting or Changing the sharing of a saved query
To delete a saved query click on “My Qry”. The queries available to you will be displayed as above. The queries which have been created by you will appear in a light blue background color. You can only delete queries created by you, you cannot delete queries created by others and shared with you.
| If you are the administrator of the system, you will be able to delete all the queries in the system, however you will not be able to change the sharing of queries created by others. |
Right click on the query you want to delete and select the delete option from the context menu. Double clicking on any row will load the query. You can also select the load option from the context menu to load the query. If the query was created by you, then the change sharing option will be available to you to update the query properties.
